The U.S. Embassy in Jakarta is seeking an individual for the position of Human Resources Assistant/Administrative Assistant in the Human Resources Office.

Basic Function of Position

The Human Resources Assistant/Administrative Assistant assists the Foreign Service National Unit with supports related to recruitment, personnel actions, staffing counts, awards, and training.

Qualifications Required

All applicants must address each selection criterion detailed below with specific and comprehensive information supporting each item.
  1. Two years of a college or university studies in office management, business, education or host country equivalent in humanistic discipline is required.
  2. Must have three years of specific and progressively more responsible administrative work experience in human resources environment, with at least year of this experience with an international organization.
  3. Level 4 (fluent) speaking/reading/writing in English and Bahasa Indonesia are required. Language proficiency will be tested. Language proficiency will be tested. If you have taken a TOEIC or TOEFL test administered by ETS within 6 months, please attach the certificate.

  1. Must have a good knowledge of office procedures. Demonstrates proficiency in typing various correspondence formats (i.e. memoranda, letters, reports, faxes, etc.) as well as standardized documents and forms is required. A thorough understanding of organizational structure specific to administrative management procedures, which govern administrative functions in a busy office environment.
  2. Ability to do multi-tasking assignments under pressure and to work effectively in a team environment. Ability to maintain strict CONFIDENTIALITY relating to all areas of Human Resources matters as/when appropriate or required. Ability to organize, prioritize and follow through on all assignments with little or no oversight. Must have excellent interpersonal and communication skills to develop and maintain a collaborative working relationship within the Human Resources Office, other Mission offices, and internal/external contacts. Must have a demonstrated proficiency in computer office application programs, emails and internet.

Selection Process

When fully qualified, U.S. Citizen Eligible Family Members (USEFMs) and U.S. Veterans are given preference.  Therefore, it is essential that the candidate specifically address the required qualifications above in the application.

Additional Selection Criteria

  1. Management will consider nepotism/conflict of interest, budget, and residency status in determining successful candidacy.
  2. Current employees serving a probationary period are not eligible to apply.
  3. Current Ordinarily Resident employees with an Overall Summary Rating of Needs Improvement or Unsatisfactory on their most recent Employee Performance Report are not eligible to apply.
  4. Currently employed U.S. Citizen EFMs who hold a Family Member Appointment (FMA) are ineligible to apply for advertised positions within the first 90 calendar days of their employment.
  5. Currently employed NORs hired under a Personal Services Agreement (PSA) are ineligible to apply for advertised positions within the first 90 calendar days of their employment unless currently hired into a position with a When Actually Employed (WAE) work schedule.
  6. The candidate must be able to obtain and hold an FSN security clearance.
